Effective Communication in Disaster Recovery Plans: A Critical Component for Success

In business operations, effective communication is vital. During a disaster or emergency, it becomes even more crucial. Without clear communication, chaos can quickly take over, leading to confusion, delays, and potentially disastrous consequences.
Disaster Recovery Plans (DRPs) always include a communication plan. You’ve seen it—the organizational chart with everyone’s phone number, usually found on the second page of the plan. Often, the first test of the plan involves a call tree exercise. Once the test is completed, there’s a collective sigh of relief; everyone answered their phones, so all must be well, right?
But fast forward a few months, and could anyone easily tell you how to report a disaster, where to find the plan, or how to initiate that call tree again?
Communication in a Disaster Recovery Plan doesn’t need to be complicated. It boils down to three essential steps:
Designate a Clear Disaster Recovery Team: This team should be the hub of coordination during an incident. It’s crucial that the team meets regularly, at least a few times a year. Each member must know how to locate, activate, and coordinate a response to a disaster.
Maintain a Clear and Updated Communication Plan: Ensure that the contact information is current and includes multiple methods of contact for all staff and critical contacts. Don’t forget to document essential vendors, insurance companies, and relevant emergency or government agencies.
Practice the Plan Regularly: Don’t just perform a call tree test; gather the disaster recovery team, locate the plan, and run through the entire process. This practice ensures that everyone knows their role and can act quickly and effectively when the time comes.
Remember, a communication plan is just one piece of the larger disaster recovery puzzle. While it's an essential component, having a comprehensive and well-rounded Disaster Recovery Plan is crucial.
